Setting up users
Users let your colleagues sign in to TrackMyMachines and let you put a tablet on the shop floor next to a machine. You manage them from Manage → Users.
Click New User to add someone. The form changes depending on the role you pick, so choose the role first.
Roles
Every user has one role. The role controls what they can see and do.
Engineer
The default role — most of your team should be Engineers. Engineers can:
- View the Live Dashboard, Operations Timeline, Charts and Factory Overview
- See machine events and resolve downtime reasons
Engineers cannot manage other users, machines or organisation settings.
Admin
Full access to the organisation. In addition to everything an Engineer can do, an Admin can manage:
- Users (Engineers, Admins and Tablets)
- Machines, areas and shift patterns
- Recipes, parts and cycles
- Downtime reasons, notification rules and API keys
- Work orders (when enabled) and organisation settings
Tablet
A tablet is a device account, not a person. It is tied to a single machine and is meant to run on a tablet mounted next to that machine so operators can log downtime and jobs.
A Tablet user:
- Logs in by scanning a QR code (see below)
- Lands directly on that machine's Operator Panel
- Cannot open the dashboards, timeline or charts
When you create a Tablet user you set a username (for example tablet_01)
and the machine it controls instead of an email address.
What is NoLogin?
NoLogin is a user that exists for record-keeping but can never sign in. It has no password and gets no invitation email.
Use it for ERP and API integrations. When an outside system reports who ran a job or caused a stoppage, that person needs a user record so their activity shows up in reports — but they don't need to log in to TrackMyMachines. A NoLogin user gives you that attribution without handing out access.
You can set a Foreign ID on a NoLogin user to match them to their ID in your ERP system. NoLogin users show an API Only badge in the user list, and the API can also create them automatically when it sees a new person.
Inviting an Engineer or Admin
- Go to Manage → Users and click New User
- Leave the role as Engineer, or choose Admin
- Enter the user's email address
- Optionally set Area Gating to restrict the user to one area and its children, and a timezone
- Click Create User
The new user is emailed an invitation. They follow the link in that email to set their own password and sign in. If the invitation is lost, open the user from the list and use Resend Invitation.
Logging in a tablet
Tablets don't use email invitations. They sign in by scanning a QR code that contains a one-time login link.
- Create the Tablet user: New User → role Tablet, then set a username and pick the machine
- Click Create User
- Back on the Users list, find the tablet row and click Show QR
- A window opens with a QR code and the matching password
- On the tablet, scan the QR code with the camera or browser
Scanning the code opens the login page with the username and password already filled in, signs the tablet in, and ticks Remember me so it stays logged in. The tablet then opens straight onto its machine's Operator Panel.
You can also type the password shown next to the QR code in by hand if the tablet can't scan a code.
Clicking Show QR generates a new password each time. This signs out any tablet currently using the old code, so only generate a fresh QR code when you intend to re-pair the device.
